The USPS makes IMB scanning data available to Full-Service Customers like StatementOut. We take it a step further by relating the scanned data to a specific delivery name and account number and making the information easily accessible.
Below is an image from the web portal showing how CSR’s could search for any Account# or Account Name and find the current status of the mail. This can easily be done while your customer is on the phone.

Another easy method to obtain scan data is downloading the raw tracking data (as .csv) from StatementOut’s monitor portal and importing it into your own database. It is important to note that scan data is downloaded from the USPS cloud every four hours for a period of 45 days so you’ll probably need to maintain an SQL database with a custom front-end that suits your purposes.
Pictured in each row of the table below is the summary tracking data for the last 10 jobs run for this client. This table provides an easy audit trail from StatementOut’s job numbering system with that of the USPS dashboard. It also includes the Date Mailed (first scan), Total Items scanned, Total Amount Due for all invoices, and the number of replies that have been scanned as well as their total revenue.

Clicking on any row in the above table opens a new window with the table below that shows details of each individual document including the Account# and Recipient. Of note is the Client Code which allows us to calculate the total revenue received by a particular organization. For instance, if you are a company doing fundraising for multiple clients, you can monitor the return rates and ROI in real-time.
